Rainbow Radio Wales Events – Mobile DJ Terms and Conditions

By booking services with Rainbow Radio Wales Events, you agree to the following Terms and Conditions. These form a binding agreement between the Client and Rainbow Radio Wales Events ("the DJ", "we", "us").

1. Booking Confirmation & Deposit

• To secure your event date and time, a non-refundable deposit is required as follows:
  • £30 for bookings where the total fee is under £120
  • £40 for bookings where the total fee is £120 or more
• Bookings are not confirmed until the correct deposit is received and written confirmation is issued.
• The remaining balance must be paid in full according to the terms outlined below.

2. Cancellation Policy

• If the Client cancels the booking, the deposit is non-refundable under all circumstances.
• Cancellations made less than 14 days before the event will require full payment of the agreed total fee.
• If Rainbow Radio Wales Events cancels the booking, any refund of the deposit or other fees will be at our sole discretion, unless otherwise required by law. We will make all reasonable efforts to assist in finding a replacement DJ.

3. Payment Terms

• Accepted payment methods: Bank Transfer, Online Card Payment, PayPal, and Cash (cash only if agreed in advance).
• Cash payments on the day must be agreed in writing at least 72 hours before the event.
• Online or bank transfer payments are due at least 2 days before the event, unless otherwise agreed in writing.
• If payment is made online or via bank transfer, the client is responsible for paying any transaction fees applicable.
• If no payment deadline is agreed, the automatic due date is 2 days before the event.
• If payment is not received:
  • A 10% late payment fee will be applied 3 days after the payment due date.
  • The total amount due will then increase by an additional 10% every 14 days that payment remains outstanding.

• Services may be withheld if payment is not received in time, and we reserve the right to take further action to recover any outstanding balance.

4. Event Requirements

• The DJ must have access to at least 2 power sockets located no more than 5 metres from the DJ setup area.
• The DJ requires approximately 90 minutes prior to the start time for setup and soundcheck.
• The Client must ensure that the venue provides safe, adequate access and meets basic safety and licensing requirements.

5. Force Majeure

• We are not liable for failure to perform due to circumstances beyond our control, such as extreme weather, power cuts, venue issues, or illness. Reasonable effort will be made to offer an alternative solution or reschedule where possible.

6. Liability

• Rainbow Radio Wales Events holds active Public Liability Insurance, which covers incidents where we are legally liable for injury to third parties or damage to third-party property resulting from our negligence.
• We are not liable for injury, loss, or damage unless proven to be directly caused by our negligence or faulty equipment.
• The Client is liable for any damage to DJ equipment caused by guests, staff, or the venue.
• We are not responsible for indirect or consequential losses arising from disruption or cancellation of the event.

7. Use of Photos & Videos

• We may take brief photos or videos for promotional use. If you would prefer this not to happen, please notify us in writing at least 24 hours before the event.

8. Conduct and Safety

• We reserve the right to end or pause the performance without refund if the safety of our staff or equipment is compromised due to inappropriate, aggressive, or illegal behavior.
• Guests must not touch or interfere with any DJ equipment or cables unless explicitly permitted by the DJ.
• If a guest is found doing so, they will be politely asked to move away. Failure to comply may result in the temporary suspension of music/services until the issue is resolved.
• The Client is responsible for ensuring that all guests behave appropriately and do not endanger the setup or performance.

9. Changes to These Terms

These Terms may be updated occasionally. The version applicable to your event will be the one issued at the time of booking confirmation.
